Global Operations

Global Operations is responsible for the operations of Global Records and Information Management, Global Real Estate, Global Safety, Risk & Security, Sales Operations, Revenue Management, Global Imaging, and Global Business Services, and Global Operations Transformation.
Process Improvement Project Manager
Reporting to the Quality & Compliance Manager Poland, Process Improvement Project Manager plays an important role over key areas of the operations including continuous improvement, operational efficiency and customer satisfaction. Works individually and with cross functional teams on projects and initiatives to meet and exceed our customer's expectations. Assists in setting up strategies and implements best in class processes in order to achieve the following goals:
Ensuring the quality and security of external and internal customer service,
Reduction of losses and risks as a result of threats, vulnerabilities, errors and undesirable variability, and
Meeting corporate requirements and international standards regarding quality and information security
Responsibilities:
Identifies opportunities for improvement based on the analysis of customer complaints, internal incidents and employee suggestions
Analyzes the problems and needs reported by clients in the context of database solutions and chain of custody
Identifies priorities for improvement in terms of quality, safety and risk
Reports and defines optimization and standardization projects for business processes
Analyzes cross-function processes in terms of the correctness of the flow and division of tasks
Analyzes end-to-end processes from a qualitative and risk assessment point of view
Coordinates the cooperation between the departments involved and takes an active part in the implementation of projects
Plans and is responsible for the proper course of project works.
Introduces process optimization tools
Specifies the requirements for improving the functionality of databases, workflow for business processes and customer service
Defines the required functionalities for the applications
Defines and implements tests of new solutions in the field of document management applications
Verifies and reviews instructions and procedures for new and modified processes
Trains IM employees in the scope of introduced changes and improvements
Supervises all work related to the implementation of projects and their quality
Conducts audits and post-implementation controls and analyzes the results of introduced improvements
Responsible for overseeing the standardization and management of documented information in the integrated quality and information security management system
Documents the course and results of own work
Monitors and reports results to management
Prepares periodic and control reports on the functioning of key business processes in Iron Mountain Poland
Key Skills, Requirements and Competencies:
University degree
Minimum 5 years of experience in areas such as quality assurance, project management, process improvement, preferably in B2B service sector
Proven experience of hands-on implementation of continuous improvement programs and projects with the use of IT solutions
Knowledge of workflow tools (M-Files or similar)
Knowledge of archiving and document management processes using O’Neil RS-SQL, eVault or similar applications based on Microsoft SQL Server will be an additional advantage
Knowledge and experience in implementing the requirements of standards such as: ISO 9001, ISO 27001, PCI-DSS, NIST SP 800-53 will be an additional advantage
Must be able to speak and communicate effectively in Polish and English
PC literate with proficiency in Microsoft Office and Google Workspace
Excellent communication and interpersonal skills, ability to collaborate effectively with both internal and external Clients
Demonstrable evidence of effective analysis of problems and determining potential solutions.
Demonstrable commitment to an holistic approach and an enthusiasm to learn on the job and to develop knowledge and expertise in all areas of the business
Highly driven, independent, organized, decisive and people-oriented team player
Demonstrable evidence of competence to train/present/brief stakeholders on project related topics.
Demonstrable confidence in effectively communicate with other parties using a variety of delivery methods (eg face-to-face meetings, telephone call, conference call, e-mail, detailed written report).
